PPGRA Information


PPGRA, located inside ADP Ev5, is a program that is used to pay summer school courses and (non-teaching) assignments. PPGRA uses Banner course information in conjunction with employee data to assist in the processing of payroll. PPGRA will replace the previous method of using an excel spreadsheet to identify the employee population with summer school assignments.


Timeline – PPGRA – 2017

Departments must update/assign faculty to courses in Banner on 5/1/2017 by 5:00 PM.

  • 4/27/2017 PPGRA Overview Session (pre Banner load) 9-10:30 AM and 2:30-5:00 PM
  • 5/04/2017 Workshop (post Banner load) 2:00-5:00 PM
  • 5/11/2017 Workshop (post Banner load) 2:00-5:00 PM
  • 5/12/2017 Workshop (post Banner load) 9-11:00 AM and 2:00-5:00 PM
  • 5/1/2017 Banner data will be imported into PPGRA beginning at 5:01 PM.
  • 5/2/2017 – 5/8/2017 Departments must review, update, and approve PPGRA appointments
  • 5/11/2017 Colleges distribute tentative summer employment sheets outlining teaching assignments to faculty
  • 5/11/2017 – 5/15/2017 Departments will continue updating PPGRA records.
  • 5/15/2017 PPGRA closed to departments 11:59 PM.
  • 5/16/2017 -5/21/2017 PPGRA open to Deans and/or select set of designees to make additions and/or corrections.
  • 5/21/2017 PPGRA closed to all including Deans and designees by 11:59 PM.
  • 5/22/2017 Provost Office downloads the PPGRA spreadsheet that will be used to send to the Budget Office.
  • 5/22/2017 – 5/31/2017 Departments must submit any changes on or after 5/22/2017 via Revised PPGRA Summer Appointment Spreadsheet to Jennifer Berghoff, Provost Office. If sponsored funding (grant) is involved, contact Peyton Fuller, who will forward the approved correction to the Provost’s office
  • 5/24/2017 -5/26/2017 Provost Office sends Deans a copy of summer spreadsheet on 5/24/2017 to review and confirm “N” not approved courses, insert descriptions for assigned course/courses, and descriptions for Non-teaching assignments. Confirmations/corrections and updates must be returned to the Provost Office by 10:00 AM on 5/26/2017.
  • 5/23/2017 – 6/1/2017 Final Reviews by Provost Office and Research Accounting (Grants) Office
  • 6/2/2017 Provost Office sends PPGRA spreadsheet to Budget Office by 5:00 PM.
  • 6/5/2017 Provost Office sends to each college the summer spreadsheet to produce the final summer information sheets. Any June payroll additions or changes must be submitted by 6/14/2017 via the Summer School Revised PA to Jennifer Berghoff, Provost Office. Changes for the July payroll must meet the established July monthly Payroll Deadlines.

What is PPGRA used for?
PPGRA is used to pay 10-Month and Part Time Summer Faculty.

When there are multiple Banner Detail courses combined, how does the PPGRA system calculate the Monthly Comp?
All courses are loaded into PPGRA at a 3% rate. When multiple courses are shown under the Banner Detail Section, the Monthly Comp is the total for each of these classes. For example, if two courses 3 credit hour courses were listed under Banner Detail, and the Monthly Comp was 6000, that would be (3 Credit Hours * 3%) + (3 Credit Hours * 3%). So 9% + 9% of that faculty’s salary.

If I search for a faculty and no matches are found, how should I proceed?
If you are searching for a faculty, and no matches are found, verify that the person you are searching for is a 10-month or part-time faculty. If they are 10-month or part-time, check with HR to make sure they have been hired. You may need to submit a Hire PA for that person.

New to GSU and teaching as Part-time faculty (teaching and non-teaching assignments):

Returning Part-time faculty:

New to GSU fall semester as full-time benefited faculty member and teaching and/or non-teaching assignments summer semester:

  • Zero ($0) comp regular PA  as Part-time summer faculty
  • PA remarks section – note that the faculty member will be starting Fall semester, August 1, as benefited faculty
  • Provide Faculty Appointment Paperwork as directed by the Office of the Provost

Submit a Revised Summer School Personnel Action Form after PPGRA lockout.
