Newly-Hired Employees

All newly-hired student and temporary employees will receive an email invitation to visit the GS Onboarding System and complete the new hire “packet.” The email will include a default login and password. The System features a 16-minute time out feature for security purposes. If timed out, the employee may revisit the Onboarding System to resume completing the packet, using their login and password.

Newly- hired benefited employees will be contacted prior to their first day to schedule an onboarding session.

Once the Onboarding packet is completed

Additional actions must be taken by the new hire to complete the employee’s records:

Present required I-9 Documentation

The new hire must present proof of identity and eligibility to work (I-9 required documentation) to HR within 3 business days of your employment. Georgia Southern University (GS) complies with The Immigration Reform and Control Act of 1986. Those who have not completed Section 2 of the Form I-9 within 3 business days will not be eligible to continue employment and the position will be terminated with GS.

Enroll in benefits where applicable

Any questions concerning benefits or retirement choices (regardless of benefit type), should be directed to hrservice@georgiasouthern.edu or contact GS Human Resources for assistance at 912-478-6947 and schedule an appointment with a senior consultant.

Pay Yourself!

The new hire will receive an email from HR with their employee ID once they have been entered into OneUSG. At that point, the new hire will have access to to OneUSG Connect. OneUSG Connect is a system of record with GS. Within OneUSG you can update your W4, G4, direct deposit information and other personal information.

Email 1: Your Georgia Southern New Hire Documents Are Ready

Welcome to Georgia Southern University!

In this message, you will find a link to the University System of Georgia’s Employment Center to complete the necessary new hire documents and onboarding information to prepare you for employment. To complete your paperwork:

  •  Complete all necessary documents, including the Final Instructions document on or before your first day of employment.

Email 3a: Further Action is Required (STUDENT)

Thank you for completing your onboarding materials! As a reminder, you have additional actions that you must take in order to complete your records as an employee and to be entered into the payroll system:

  1. Present required I-9 documentation. You must present proof of your identity and eligibility to work (I-9 required documentation) to the Department of Human Resources (HR Building 983 Forest Drive for Statesboro Campus, Burnett Hall Suite 160 for Armstrong and Liberty Campuses) within 3 days of your start date
  2. Additional documentation.When you provide your I-9 documentation, you will be required to sign the required Loyalty Oath that will be provided to you at that time.
  3. Time and Absence. Contact your Hiring Manager to ensure you have been set up correctly for Time and Absence. This includes your time entry method (TCP Time Clock or Web Clock).
  4. Enrollment status. As a reminder, to remain a student employee, you must be enrolled in at least six (6) credit hours as an undergraduate or three (3) as a graduate student at Georgia Southern University. Additionally, students cannot exceed 25 hours of work per week during the fall and spring semesters. Students cannot exceed 40 hours per week during the summer semester and break periods. Your total number of hours for a 12 month period cannot exceed 1300 hours.
  5. Familiarize yourself with HR policies. Policies governing your employment at Georgia Southern can be found at digitalcommons.georgiasouthern.edu/humanres and University System of Georgia policies can be found at usg.edu/hr/policies.

Email 3b: Further Action is Required (TEMP)

Thank you for completing your onboarding materials! As a reminder, you have additional actions that you must take in order to complete your records as an employee and to be entered into the payroll system:

  1. Present required I-9 documentation.   1. Familiarize yourself with HR policies. Policies governing your employment at Georgia Southern can be found at digitalcommons.georgiasouthern.edu/humanres and University System of Georgia policies can be found at usg.edu/hr/policies.
  2. Access to resources. The department with which you are affiliated can submit a MyTechHelp ticket requesting access to the appropriate electronic resources.
